Workspace Settings Overview
For Workspace Admins — setup, users and access, custom fields, and connected data sources.
Note: this section is for Workspace Admins only. Members see their Workspace's configuration reflected in what's available to them; the controls below are admin-only.
Workspace Settings is where your Workspace gets configured — your data model, the external sources feeding your intelligence, the capabilities your team can use, and who has access. It's not where you go to find or work with your data day-to-day; it's where the underlying setup gets adjusted.
Your Workspace doesn't arrive as a blank control room, either: Collaboration.Ai configures Settings as part of onboarding, before you ever log in. What's here is what's already been set up for your program — this is where you review it and change anything that needs to change.
Where to find it: click your name or email in the bottom-left account menu, then select Settings. Use Back to app at the top of the settings left nav to return to the home page.
The left rail is organized into labeled groups, each holding one or more pages:
- Workspace — General: identity and vitals — your Logo, Workspace name, Description, and at-a-glance counts of Users and Records. All three identity fields are editable here.
- Your Data — what your team brings in: Integrations (connected sources like Google Drive) and Records & attributes (your records and the fields shown on them).
- Our Data — what the platform provides: Data packs and Platform library.
- Capabilities — Agent skills: what the AI can do, and whether each one is enabled.
- Access — Users: who's in the Workspace and their roles.
You'll also see sections listed but not yet open — such as Enrichment, Security, Audit, Usage, and Billing. They're grayed out until they launch.

Managing Your Data
Where to find it: Under Your Data, go to Records & attributes → Attributes
Records & attributes is where you shape your Workspace's data model — the foundation the intelligence reasons against. Its main surface is Attributes: the built-in and custom fields shown on People, Organizations, and Events.
Built-in and custom fields
Pick a record type with the People / Organizations / Events tabs. Each shows two sections:
- Built-in Fields — the standard fields every record of that type carries (for example, Organization Name, Website URL, Location). These always appear and can't be hidden.
- Custom Fields — the fields your team defines. These you control fully: create, rename, reorder, scope, hide, or delete.
Create a custom attribute
- Choose the record type tab, then select the + button in Custom Fields.
- Set the Field Name — the label your team will see (for example, "Department").
- Choose the Data Type: Text, Number, Boolean, Date, List, or Picklist.
- For a Picklist, choose the Selection Mode — Single select or Multi-select — and define the List Options your team picks from. At least one option is required.
- For Organization attributes, optionally narrow Org Types — choose from Company, Consortium, Education, Government, and Nonprofit to scope the field to specific organization types. Leaving it unset applies the field to all organizations.
- Select Create. The field appears immediately on every record of that type.
Manage existing attributes
- Each custom field's row menu offers Rename, Edit options (picklists), Edit scope (organization fields), and Delete.
- Drag rows to reorder how fields appear on records.
- Use the visibility toggle to hide a field without deleting it.
Warning: deleting a custom field removes it from every record of that type in the Workspace, and existing values in that field will no longer be accessible. You'll be asked to confirm first.
Records and files
Manual record creation and file upload are available to your whole team from Find / Create. Bulk imports — loading a spreadsheet of records in one pass — are handled by your Collaboration.Ai team today: send them the file and they'll load it, including any new custom attributes it defines. Self-serve bulk import is planned for this section.
Connecting your data: Google Drive
Where to find it: Under Your Data, go to Integrations → Google Drive
Note: Google Drive sync is rolling out gradually and may not be enabled for your Workspace yet. If you don't see it under Integrations, your CAI team can tell you where your Workspace is in the rollout.
Connecting Google Drive keeps folders of files flowing into your Workspace automatically — no manual uploads, no stale copies. Files from synced folders are ingested as artifacts: searchable and usable as context, like anything else your team uploads.
Connect and choose folders
- Open Settings → Your Data → Integrations and select Google Drive.
- Turn on Enable for workspace.
- Sign in with Google and authorize access when prompted.
- Select Add Folder. In the Select Folder dialog, browse My Drive or Shared Drives and select a folder.
- Confirm with Select. Syncing starts shortly after — the folder row shows Syncing, then Synced.
What syncs, and when
- Supported document types — documents, spreadsheets, presentations — are ingested. Unsupported types are skipped and counted on the folder row, so a skip is visible rather than silent.
- After the first sync, changes flow automatically: files added, updated, or removed in the folder are reflected in your Workspace.
- Each folder row shows its status — Synced, Syncing, Paused, or Error — and when it last synced.
- Access is read-only: NetworkOS reads from Drive and never modifies your files.
Manage or disconnect
- Use a folder row's menu to Pause, Resume, or Resync it, or Remove the sync entirely.
- Turning off Enable for workspace disconnects the account and stops all syncs. Files already ingested stay in your Workspace.
Warning: removing a folder sync can't be undone — you'd set the folder up again from scratch. You'll be asked to confirm first.
Managing External Data
Where to find it: The Our Data group
The external layer has a two-level access model: Collaboration.Ai curates what exists on the platform, and you control what's active in your Workspace. Your CAI team pre-configures this section to fit your program before you ever log in — your job is review and adjustment, not setup.
Data packs
Under Our Data, go to Data Packs
This lists every pack in two groups — Enabled and Available. Open a pack to see:
- What it provides and where the data comes from.
- When it was last refreshed.
- Which Agent Skills draw on it.
Enable or disable the pack with the toggle on its page. Two things to know before toggling:
- Enabled packs apply Workspace-wide — everything your team asks can draw on them.
- Disabling a pack pauses any Agent Skill configured to use it, until the pack is re-enabled. The skill's page tells you exactly which packs it needs.
Platform library
Under Our Data, go to Platform Library
This shows how the shared organization library is configured for your Workspace:
- Use the platform library as a source — whether the assistant draws on the library's enriched organizations as ambient context, or reasons only over your own records.
- Share organizations to the shared library — whether organizations your team adds contribute their name and website URL (only) back to the shared library, making them eligible for enrichment.
Both settings are visible here but managed with your CAI team today — reach out to change either one.
Enrichment
Under Our Data, go to Enrichment
Enrichment runs as a managed service — there's no self-serve configuration page yet. Your CAI team activates and tunes it for your Workspace. What your team sees day-to-day — status indicators and enriched fields on records — is covered in Part 2.
Managing Agent Skills
Where to find it: Under Capabilities, go to Agent skills
Agent Skills are specialized abilities available across your Workspace — your team invokes one with a slash command in Terminal, or just by asking in plain language. This page is where you control which ones are active.
Skills come in two kinds:
- Catalogue Agent Skills ship with the platform — general-purpose patterns like research, record summaries, and document extraction, available to every Workspace.
- Managed Agent Skills are purpose-built for your team by Collaboration.Ai — mapped to your actual process, requirements, and output format through discovery with your team.
Both kinds appear here once configured for your Workspace, listed as Enabled or Available:
- Open any skill to see what it does, the slash command that invokes it, and what data it draws on.
- Enable or disable it with the toggle.
- Skills that draw on Data Packs need those packs enabled. If you enable a skill whose pack is off, you're told which pack it needs — the skill waits until the pack is enabled rather than failing quietly.
Building new managed skills isn't self-serve — that's a conversation with your CAI team, who scope and build skills to your workflow.
Managing Users & Access
Where to find it: Under Access, go to Users
The Users page lists everyone in your Workspace — name, email, and role. Everything in NetworkOS stays scoped to this list: your records, files, conversations, and Missions are visible only to the people on it.
The two roles
- Admin — manages the Workspace: settings, data model, external data sources, Agent Skills, and access. Admins can edit everything.
- Member — does the work: uses Terminal, works with records and Missions, uploads files, and edits the records they've been given edit access to.
Your navigation reflects your role — Admins see management controls Members don't, and some pages (like My Records) appear only when relevant to you.
Adding and removing members
Adding new members, changing roles, and removing access are handled with your Collaboration.Ai team today:
- Reach out to your usual contact with the person's name, email, and intended role.
- They'll provision the account, and the new member receives a welcome email to activate it and get started.
- Self-serve invites are planned for this page.
A habit worth keeping: when someone joins, changes roles, or leaves your team, tell your CAI team. Your member list should mirror your real team — that's what keeps access clean and your data safe.
